Recommendation:
Approval of a Contract to Pegasus Cleaning Corporation for janitorial services for various county buildings.  The Contract has been approved by the County Attorney’s Office.

Staff is requesting approval of a Contract to Pegasus Cleaning Corporation for janitorial services for various County buildings.
Summary:

A Request for Proposal (RFP) was issued by the Spotsylvania County Procurement Division on November 1, 2016 to solicit proposals from qualified vendors for janitorial services for various county buildings.  Ten (10) proposals were received for this procurement.  A Selection Committee reviewed the proposals, ranking them based on their qualifications and experience, approach for providing services to meet the requested statement of needs, and price per square foot.   The top three ranking firms were interviewed and the result was the award of a contract to Pegasus Cleaning Corporation.

Financial Impact:
Adequate funding is available in 110-4320-432-3928.

Additional Background/Other Considerations:

Contract is signed by Contractor and County Attorney’s Office and is attached. The contract shall have a term limit of three (3) years and may be renewed for three (3) additional one (1) year terms at the option of Spotsylvania County.

 

The buildings initially to be serviced with this contract include Circuit Court, Public Safety, Holbert, Merchants Square and Salem Church Library.  Additional buildings may be added as needed.

Consequence of Denial/Inaction:
The County must outsource these services or provide staff to cover the need. Outsourcing has proven to be the best option with respect to costs and maintaining adequate levels of service delivery.
