Recommendation:
Approve the award of a Purchase Order contract to CAS Severn for the purchase of hardware for the new public safety system in the amount of $775,538.15.

Summary:

A Request for Proposal (RFP) was issued by the County of Fairfax in September 2014 for the purchase of computer hardware, software and services. The County of Fairfax has a cooperative clause which allows other localities to purchase hardware, software and services from the awarded vendor CAS Severn, Inc.

 

This contract is for the servers and network hardware required for Spotsylvania County’s new Superion Public Safety system, approved by the BOS on June 28, 2018 – GP1201.  This hardware meets or exceeds all current requirements dictated by Superion for their software solution and to allow for business continuity.  This configuration accounts for future growth of the county and the Public Safety systems.

Financial Impact:

Adequate funding is budgeted and appropriated within project GP1201, account 310-9120-801-8001 for award of this contract for this purpose.

 

This contract is for the hardware implementation of the new Public Safety system. As planned, for this major project there will be numerous contracts executed for the implementation of the Public Safety system over the next 12-24 months.

Additional Background/Other Considerations:
The purchase order contract has been approved as to form by the County Attorney’s Office.
Consequence of Denial/Inaction:
Denial or inaction would bring to a halt the implementation of the Superion Public Safety system. Currently project plans for implementation of the system are being created and the purchase and installation of the hardware is a critical part of the plan.
